Department Summary

University Housing has an annual operating budget of 57 million dollars. University Housing provides residence hall accommodations for approximately 4,250 students, with 10 dining venues, and approximately 450 apartments and family housing units. The various units represent over two million square feet of living/dining space and approximately 80 acres of grounds.

Position Summary
This position provides direct support to University Housing Facilities Managers by providing information, training, and direction of work efforts to trades maintenance and custodial staff. This position coordinates and oversees manual, unskilled, semiskilled, and custodial workers in the maintenance, repair, cleaning, conference and catering room-setups for University Housing residence halls, family housing, dining facilities, and grounds. This position assists Facilities Managers through evaluating customer service and work requests with an emphasis on potential impact to resident well-being, safety, and academic success, validating requirements, and prioritizing requests based on urgency. This position is supervised by a Facilities Manager and does not directly supervise custodial and trades maintenance personnel, however, it provides oversight of work under the guidance of a Facilities Manager’s supervision.

The Facilities Services Coordinator makes decisions on work priorities, distribution of work, quality of service, supply and equipment needs, emergency versus non-emergency repair needs, necessary cosmetic repairs and repair routing. Position also must enforce and follow operating procedures covered in Facilities Employee Guide and be familiar with safety awareness materials and MSDS guide and follow respectful work place guidelines in support of organization’s goals. These decisions aid in prioritizing work, increasing safety awareness, ensuring standards of sanitation maintenance are maintained and support the goals of the division.

Duties Include:
• Assigning duties and monitoring standards through routine hall inspections; routing repair needs through appropriate channels
• Reporting safety issues and other concerns to supervisory staff; ensuring hazard communication requirements are implemented
• Performing custodial duties for absent staff
• Disseminating communication and information through phone, email and campus mail; serving as liaison between staff, management and other divisions; attending meetings and facilitating area staff meetings
• Training and overseeing new employees and temporary workers; reporting progress to managers
• Maintaining records such as those pertaining to equipment, linen, damages, and repairs; responding to customer requests for service
• Overseeing and assisting in room setups on a nightly basis, this involves the lifting of many tables and chairs
• Overseeing the swing shift response to the duty phone, providing cleanups and minor maintenance as necessary, writing reports of such calls and responses
• Overseeing and participating in project work on school break periods as requested. This may include carpet cleaning using truck mounted carpet equipment

Work Schedule:
This position works a non-standard shift of 3:00pm – 11:45pm and workdays may include weekends.

The duties of this position require:
• Driving university vehicles
• Ability to work at a standard computer workstation
• Occasionally working in inclement weather conditions
• Ability to climb stairs, work on ladders, push, pull, walk, lift, bend, and perform repetitive movements for prolonged periods of time; clean up bodily fluids
• Ability to perform duties with direct customer communication
• Some work may be performed in freezers, coolers, service tunnels, and basement spaces and poorly lighted or noisy areas

Essential Personnel
This position is one of those required positions necessitating that the employee make every reasonable effort to arrive at campus at their regularly scheduled times during inclement weather and/or university closures unless otherwise notified by their supervisor or manager. This includes times when the university may be closed. Essential personnel must provide reliable and current contact information at all times.

Special Requirement
This position will require a valid driver’s license and the ability to obtain UO Driver’s Certification for purpose of driving state vehicles.

Minimum Requirements
• One year of experience as a maintenance or general laborer

Preferred Qualifications
• Two years facilities maintenance or custodial customer service experience in a large complex of commercial/institutional buildings. Experience must have been within the past five (5) years
• Two years of experience operating a Computerized Maintenance Management System in a large complex of commercial/institutional buildings. Experience must have been within the past five (5) years
• One-year lead work experience in custodial or maintenance field
• Demonstrated working knowledge of Windows-based personal computer applications (e.g. Word, Excel, Outlook, etc.)
