The Business Operations Manager is the primary administrative officer within the School of Art + Design, one of the main academic units within the College of Design. The School of Art + Design, which contains the Departments of Art and Product Design and has an operating budget of $7 million annually, is the academic home for 31 tenure track faculty members, as well as many non-tenure track faculty and pro tempore instructors, and serves 650 undergraduate majors, many non-majors and 60 graduate students.
The Business Operations Manager provides high-level operational support for the Head of the School of Art + Design, as well as the two Department Heads, and will be a vital member of the administrative leadership team for the School of Art + Design, working on a broad range of assignments that support its mission, programs and personnel. This position must be able to manage complex issues and be able to work in a team environment as well as independently. The Business Operations Manager will exhibit a high level of sensitivity, confidentiality and cultural awareness, demonstrate sound judgment and exercise creative problem solving. This person must have the ability and commitment to work with individuals from diverse backgrounds, and be able to create a welcoming, professional, and productive atmosphere in the office.
The Business Operations Manager oversees all financial and operational functions, including budgeting and expenditure tracking and reporting; development of financial forecasting and projections; hiring and other non-academic personnel actions; supervision of three classified staff; managing and utilizing available resources to fulfill the mission of the School and College. The Business Operations Manager will work closely with College of Design administrators to conduct the unit’s business in accordance with the guidelines established by the University and the Office of the Dean.
• Bachelor’s degree from an accredited college or university or equivalent combination of education and experience.
• Three years of supervisory experience of two or more employees, OR three years lead staff experience with appropriate supervisor training.
• Prior experience establishing, managing, and tracking operational budgets.
• Ability to be effective in an interdisciplinary team environment and with a variety of stakeholders, including faculty, staff, and students.
• Ability to meet deadlines, anticipate needs, manage and prioritize multiple tasks or projects, follow-through, and work independently without supervision, while handling frequent interruptions and shifting priorities.
• Ability to manage stressful situations with tact and diplomacy and to use sound judgment and initiative, particularly as it relates to handling sensitive and/or confidential information.
• Self-motivated, punctual, reliable, organized, and flexible. Excellent organizational, problem-solving, and time management skills. Excellent attention to detail.
• Resourcefulness, innovative thinking, and ability to improve administrative processes.
• Exceptionally strong oral and written communication skills, leadership skills, effective interpersonal skills, expertise in working effectively and collaboratively with faculty, staff and students with diverse backgrounds and cultures, and the ability to deal successfully with a broad spectrum of people in stressful or difficult situations.
• Strong analytical and critical thinking skills and ability to analyze, summarize, and effectively present data.
• Ability to analyze and develop fiscal recommendations.
• Proficiency with Word, Excel, PowerPoint, and Outlook (or similar scheduling/calendar program), and familiarity with Microsoft Office applications.
• Commitment to and experience with promoting and enhancing diversity and equity.
• Advanced knowledge of accounting concepts and experience in purchasing, contracting, and financial analysis.
• Knowledge of and experience with UO software platforms, including Banner, Cognos, and MyTrack.
• Understanding of an institution of higher education and related organizational structures, policies and procedures; emerging issues in higher education; familiarity with relevant Oregon Administrative Rules (OAR) and policies; equivalent experience in a similarly complex organization.
• Knowledge of, or interest in, the arts.
