Department Summary

The College of Arts and Sciences (CAS) is the intellectual hub of the University of Oregon, serving nearly two-thirds of all students. Home to more than 800 faculty across 50+ departments and programs in the humanities, natural sciences, and social sciences, CAS is a dynamic and interdisciplinary academic community. Our faculty and advisors work closely with students to develop critical thinking, analytical reasoning, and clear communication skills to address real-world challenges. CAS staff and managers are integral to this work, playing vital roles in supporting academic excellence and advancing the mission of both the College and the University.

CAS is organized into multiple Academic Support Units (ASUs), each staffed by teams that provide administrative, strategic, and operational support to multiple academic departments within the College. ASU 6 supports the Departments of Biology, Chemistry and Biochemistry, and Physics, as well as the Oregon Institute of Marine Biology and the Multidisciplinary Science Program.

Position Summary

The Undergraduate Programs Assistant (UPA) works directly with undergraduate students in the academic departments and programs within an Academic Support Unit. The UPA works closely with and assists the academic leadership within the ASU whose service is for the advancement of undergraduate majors or minors from declaration through graduation. This position supports the undergraduate program by performing functions such as assisting students with degree and course planning; processing major/ minor changes; registration overrides; updating course listings; completing degree clearances; and monitoring course waitlists. The UPA works closely with academic leadership within the ASU to schedule classes and classrooms throughout the year, and assist with summer schedules and instructor assignments. The Undergraduate Programs Assistant participates in special projects as needed.

This position reports to the Academic Programs Manager.

Minimum Requirements

• Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents; OR
• An Associate's degree in Office Occupations or Office Technology; OR
•Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

Professional Competencies

• Excellent organizational and time management skills, with attention to detail.
• Experience with and/or commitment to working effectively with individuals from diverse backgrounds, in support of an inclusive and welcoming environment.
• Ability to effectively work independently and as part of a team, providing support where needed.
• Proficiency with Microsoft Office 365 software, including the ability to learn new software.
• Ability to understand, explain, and clarify rules, processes, and procedures.
• Ability to communicate effectively in person, on the phone, and by electronic means.
• Ability to interact appropriately in difficult situations and conversations.

Preferred Qualifications

• Experience in a college or university setting.
• Experience working with Banner Information System and/or IBM Cognos Integrative Data and Reporting (IDR).
• Experience with communications and/or social media.
• Experience planning and/or coordinating special events.
