Position Summary

As a Conference & Events Operations Manager, you will be responsible for managing the planning logistics, coordination, and accounting efforts for the Housing Conference and Events operation. You'll work closely with 75 to 150 event organizers, guiding them from initial planning to final billing, to plan and execute Conferences and Events on campus. Most of these events take place during June, July, and August.

Your role will involve collaborating with the Housing Business Office, Residence Life, Facilities, and Food Services staff to plan and coordinate the operational logistics necessary to support Conferences and Events on campus.

In addition, you will play a pivotal role in hiring, training, and supervising 24-34 live-on staff. During the summer conference season, you'll provide on-call support to respond to day time and after-hours emergencies. Your ability to exercise independent judgment and discretion in resolving issues is crucial to ensuring the safety and security of both youth and adult overnight conference groups. This will require close collaboration with the Director of Conference Services, Safety and Risk Services, UOPD, and other campus partners to adhere to campus policy and community standards.

Another important aspect of your role is coordinating the final audit, which is essential for creating final invoices for each conference group shortly after their departure. Your daily tasks will require access to software used to manage events, including Catereze, Banner, App Works-UC4, StarRez, and Qualtrics. You'll also frequently use email and spreadsheets for effective communication and data management.

You will report to the Director of Conference Services, with your work being reviewed daily and through annual performance appraisals to help you continuously excel in your role. Your contributions will be instrumental in ensuring the success of our conferences and events while upholding the highest standards of safety and security.

Minimum Requirements

• Bachelor’s degree plus 1-year experience in a service environment or equivalent combination of knowledge and experience.
• Experience using computer programs and databases.
• Experience providing customer service.
• Experience working in a fast-paced service operation environment.
