Department Summary

The College of Arts and Sciences (CAS) is the hub of learning, research, and academic excellence at the University of Oregon. CAS is organized into multiple Academic Support Units (ASUs), each housing staff and managers who provide administrative, strategic, and operations support to multiple academic departments in CAS. ASU#3 currently includes the departments and programs of Arabic Studies, Classics, Comparative Literature, Composition, English, Folklore, Humanities, Medieval Studies, Philosophy, Politics, Culture, and Identity, and Religious Studies.

Position Summary

The Undergraduate Programs Assistant works directly with undergraduate students in the academic departments and programs within an Academic Support Unit. This position works closely with and assists the Assistant/Associate Department Heads, Directors of Undergraduate Studies, and/or other faculty positions whose service is for the advancement of undergraduate majors or minors from declaration through graduation. The Undergraduate Programs Assistant works closely with the Associate Head to schedule classes and classrooms throughout the year. The Undergraduate Programs Assistant participates in special projects as needed.

The position reports to the Academic Programs Manager.

Minimum Requirements

• Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR
• An Associate's degree in Office Occupations or Office Technology; OR
• Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

Professional Competencies

• Excellent organizational and time management skills, with attention to detail.
• Experience with and/or commitment to working effectively with individuals from diverse backgrounds, in support of an inclusive and welcoming environment.
• Ability to effectively work independently and as part of a team, providing support where needed.
• Proficiency with Microsoft Office 365 software, including the ability to learn new software.
• Ability to understand, explain, and clarify rules, processes, and procedures.
• Ability to communicate effectively in person, on the phone, and by electronic means.
• Ability to interact appropriately in difficult situations and conversations.

Preferred Qualifications

• Experience in a college or university setting.
• Experience working with Banner Information System or Cognos.
• Experience with communications and/or social media.
• Experience planning and/or coordinating special events.
