Department Summary

The School of Architecture and Environment (SAE) is a multidisciplinary academic unit with approximately 80 tenure and non-tenure faculty members, 6 staff members, and 700 students across three departments and two programs: Architecture, Interior Architecture, Landscape Architecture, Environmental Design, and Historic Preservation. With students in both Eugene and Portland, SAE offers accredited professional programs (leading to licensure or certification) and post-professional research-based degrees.

Position Summary

As the Academic Course and Studio Scheduler, you will play a critical role in planning and organizing courses and studios for the Architecture, Interior Architecture, Landscape Architecture, Environmental Design, and Historic Preservation programs at the University of Oregon. You will work closely with the SAE Director, Department Heads, Program Directors, and staff to create accurate and efficient schedules for both the Eugene and Portland campuses. Regular collaboration with Department Heads and academic directors will ensure alignment with curriculum planning, while ongoing tracking of student progress will help you provide forecasts for faculty, curriculum, and space needs.

In addition to developing course schedules, you will analyze registration and enrollment data to identify trends and make recommendations for curriculum updates. You will also manage the Graduate Employee (GE) application and selection process, ensuring appropriate staffing, and resolving scheduling conflicts. You'll oversee the studio preferencing process and assist with the development of terminal studio preview events, gate reviews, and final review schedules. Maintaining strong communication with faculty, students, and various university departments will be crucial to ensuring smooth operations and a seamless registration experience.

You will also be involved in project and program management, recommending new features or procedures to streamline operations, and implementing both long- and short-term goals. You'll manage key departmental projects, collaborate with faculty and staff to refine processes, and ensure the accuracy of data entry in university systems. Additionally, you'll be responsible for maintaining templates, surveys, and curriculum materials while ensuring the security of confidential information. Through continuous professional development, you'll stay up-to-date with relevant policies and systems to support the smooth functioning of the department and contribute to the success of academic programs.

Minimum Requirements

• Three years of office experience which included two years at full performance level and experience generating documents; and
Lead work responsibility or coordination of office procedures.

Preferred Qualifications

• Post secondary course work in office management or the specific program area desirable.
• Proficiency with Microsoft Office Suite, primarily Word, Excel, and Outlook
• Experience in collecting, managing, and analyzing data, preparing reports, and maintaining complex record-keeping systems.
• Experience in monitoring and evaluating processes, policies, and projects to ensure accuracy, minimize issues, and recommend and implement improvements.
