Facilities and Office Operations (FOO) provides essential services that build a strong foundation from which units within University Advancement promote the university’s priorities and operate within a framework of efficient business practices.
In addition to supporting University Advancement, Facilities and Office Operations also provides services to University Communications (UC) staff, and other university areas such as the UO Board of Trustees, the University of Oregon Alumni Association's (UOAA) Board of Directors, and other boards and volunteer bodies.
Position Summary
The Equipment and Operations Technology Coordinator (coordinator) supports University Advancement (UA) employees and UO building occupants within the Ford Alumni Center. The coordinator also supports UA staff working at the Portland campus and remotely.
The coordinator is responsible for providing customer service with office and facilities equipment, managing cell phone communication devices and is a liaison to Information Services’ User Support Services (USS) organization to ensure staff and students are provided with workstation hardware and software technical support. Working with USS, this role ensures compliance with university and divisional policies and best practices related to equipment procurement, deployment, use of, and information security.
Key responsibilities include managing UA, UOAA, or UC specific equipment tracking databases, maintaining a secure storage system for devices, and deploying equipment. The coordinator will develop and maintain organization-specific training and procedural manuals, providing training and consultation to professional staff and student employees on the use of workstation/office equipment, communication devices, audiovisual technology, and event-related equipment.
This position supports event and operations activities at the Ford Alumni Center, assisting with setup, conference room technical support, staffing, and general event support. The coordinator collaborates with administrative and operations teams to ensure a customer service-oriented approach to onboarding newly hired staff, as directed by the Vice President of Advancement.
This position requires moving around a multi-level building frequently, and requires the use of ladders and stairs, tools, and the ability to lift up to 50 lbs., and leverage up to 250 lbs.
Occasional nights and/or weekends to fulfill the needs of special projects and events within the Ford Alumni Center.
Minimum Requirements
This classification requires a basic foundation of knowledge and skills of technology and information systems generally obtained through an AA degree in computer science, information systems, educational technology, communications, or related fields, or similar certified course work in applicable fields of study and at least one year of related work experience.
Professional Competencies
• Ability to observe UO building standards and security practices, and be able to recognize hazards, safety precautions and workplace procedures.
• Ability to interpret and develop policy, control regulations, give technical training, review program operations, and write reports for recommendations for change.
• Ability to manage, operate, and troubleshoot audiovisual equipment, especially equipment used for hybrid or virtual meetings.
• Ability to research and stay updated on technology trends for business hardware and software applications to be used for workstation and meeting spaces; make recommendations for equipment upgrades.
• Ability to make independent decisions and perform timely corrective action in response to building and equipment emergencies.
• Demonstrated ability to use a computer for word processing, electronic communications, and automated programs for managing the facility.
• Ability to stay organized, practice discretion and confidentiality, and provide quality customer service to a variety of constituents.
• Strong sense of financial accountability and the ability to manage resources with prudence and efficiency.
• Ability to procure, track, deploy, and manage equipment inventory including computers, office, audiovisual and peripheral devices.
• Ability to support event operations with excellent customer service, adherence to facilities policies and procedures, and attention to detail as directed by the Director of Facilities and Building Operations.
• Ability to interact, communicate, and work effectively with individuals, recognizing and respecting the many and varied identities of each person.
