Department Summary

Finance and Administration is a vibrant and varied portfolio serving all aspects of campus life. Our employees perform a wide range of functions including offering essential financial tools and support to the university’s many departments, providing key resources to employees, and keeping campus safe, clean, accessible and beautiful.

Established in 2012, the Transportation Services Department is an auxiliary unit within Finance and Administration whose goal is to provide customer-oriented sustainable transportation and parking programs and services to students, employees, and visitors to the University of Oregon. Transportation Services covers its expenses and operations through revenue generation, largely through permit sales, meter revenue, events, and citations. The unit’s annual budget is approximately $2 million. Transportation Services maintains more than 3,800 parking spaces on or adjacent to campus in more than 60 lots and two multi-level parking garages.

Transportation Services facilitates university travel by managing a motor pool that provides reliable, well-maintained vehicles for university-related travel. Motor pool services support convenient, cost-effective transportation to meet diverse needs and is managed with a focus on safety, efficiency, environmental sustainability, and fiscal responsibility.

Position Summary

The Office Specialist at the University Motor Pool is responsible for supporting daily administrative and operational functions to ensure smooth and efficient motor pool services for university affiliates. This position plays a vital role in providing information and assistance to customers, maintaining office operations, coordinating vehicle rentals, and assisting with the logistics associated with fleet management and maintenance.

The OS2 oversees office services and records processing for the motor pool. Reporting to the Motor Pool Manager, duties will include; answering phones and emails, ordering office supplies and equipment, administering and dispatching vehicle reservations, processing driver certifications, coordinating billing and verifying account information, and assisting with vehicle and building upkeep and repairs. It is expected that this position will exercise strong interpersonal skills to ensure the customer is informed on all aspects of their rental. This position must possess excellent written and oral communication skills and enjoy building a positive rapport with Motor Pool customers, vendors, and employees. The Office Specialists may oversee the work of other employees and/or student employees.

Driving Requirement: It is an essential requirement of this position to qualify for and maintain UO driver's certification eligibility, which includes maintaining an Oregon driver’s license throughout employment in this position.

This unit may provide essential services during times of emergencies and inclement weather. This position may be required to fulfill essential services and functions during these times.

Minimum Requirements

• Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR
• An Associate's degree in Office Occupations or Office Technology; OR
• Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

Preferred Qualifications

• Professional experience in a higher education sector and university operations.
• Experience in customer service.
• Experience with general office duties, including scheduling and record keeping.
• Experience with fleet management or vehicle rental operations: bookings, vehicle check in/check-out procedures, and basic maintenance requirements.
• Experience with Microsoft Office Suite.
• Understanding of route planning logistics.
• Experience in a fast-paced, multi-tasking environment.
